Simple guidance for daily hospital workflows.

This site explains how to use DEFINE HIMS and the public E-Site. It is safe to publish: it does not connect to a database and does not contain patient records, screenshots, passwords, API keys, server details, or deployment instructions.

Important: Use only your assigned login. Check the active hospital and financial year before saving any patient, clinical, or billing entry.

QUICK START

Before you enter information

1. Sign in securely

Use your own username and password. Do not share login details or leave a session open on a shared computer.

2. Confirm hospital

Check the selected company/hospital and financial year at the top of the system before creating records.

3. Search first

Search by patient ID, mobile number, bill number, or name before adding a record. This helps prevent duplicates.

4. Save once

Review required fields, save once, and wait for the confirmation message. Avoid repeated clicks.

5. Verify output

Reopen the saved record or report to confirm the correct information was recorded.

6. Correct safely

Use the approved Edit or Cancel workflow. Do not change records directly through database tools.

OUTPATIENT CARE

OPD patient registration

Find patient

Search by UHID, mobile number, or patient name. Select the existing patient if found.

Register new patient

For a new patient, enter demographics, contact details, doctor, and department carefully. The UHID is generated by the system.

Confirm visit details

Review the visit type, consultation fee, payment details, and any required OPD billing information.

4

Print and continue care

Confirm the registration card, token, prescription, laboratory request, or follow-up details as needed.

Registration-card print settings: Authorized users can choose the logo visibility, font, normal text color, and heading color in OPD Print Settings.

INPATIENT CARE

IPD admission and discharge

  1. Search and select the correct existing patient.
  2. Enter admission date/time, doctor, ward, bed, and clinical details.
  3. Confirm the system-generated IPD number before saving.
  4. Record bed movements, charges, clinical notes, and documents through their correct screens.
  5. Before discharge, verify all billing and clinical information, then prepare the discharge summary.
Safety check: Do not reuse a UHID or IPD number. If a patient or admission appears duplicated, stop and ask an authorized administrator to review it.

BILLING & COLLECTION

Create bills carefully

Before creating a bill

  • Confirm patient, hospital, date, and financial year.
  • Search for an existing bill before creating a new one.
  • Verify items/services, quantities, rates, tax, discount, and payment mode.

After saving

  • Review total, received amount, due amount, and status.
  • Print only after checking the patient and bill details.
  • Use the approved correction, cancellation, or collection screen for changes.

LABORATORY

Laboratory workflow

Select patient and tests

Confirm the patient and ordered tests before billing or collecting a sample.

Record sample details

Capture the appropriate collection information and status according to your laboratory process.

Enter and review results

Enter results carefully. Use the authorized approval/review workflow before reporting.

Issue final report

Verify patient identity, test values, report date, and approval status before printing or sharing.

ADMINISTRATION

Settings and access

User rights

Only authorized administrators should add users or change menu permissions. Give the minimum access needed for each role.

Print settings

Use the correct print-setting screen for logos, document layout, and permitted appearance changes. Test with a sample preview.

Master data

Maintain doctors, departments, items, services, taxes, wards, and other masters before they are used in transactions.

Administrator rule: Review an existing setting before changing it. Change one item at a time and test the affected workflow immediately.

PRIVACY & SECURITY

Protect patient information

Never publish

Do not publish patient names, UHIDs, mobile numbers, addresses, clinical records, bills, ABHA details, login credentials, reports, or screenshots containing real data.

Share safely

Use only approved channels and the minimum necessary information. Mask or remove patient identifiers from training material and screenshots.

FAQ

Common questions

I cannot find a patient.

Search with alternate fields such as mobile number, UHID, or spelling variation. If the patient is not found, register a new patient only after confirming there is no duplicate.

I entered the wrong information.

Use the authorized edit or cancellation process. Do not create a duplicate record to correct an earlier record.

My menu is missing.

Your assigned role may not have access. Contact the hospital administrator to review your required permission.

Can this public site show hospital data?

No. Keep public documentation general. Patient, financial, system, database, and credential details must remain private.
